This Privacy Notice applies to personal information The MEMIC Group (comprised of Maine Employers’ Mutual Insurance Company, MEMIC Casualty Company, and MEMIC Indemnity Company), hereinafter referred to as “we,” “us,” “our” or “MEMIC” may collect from website users (“you”) when you visit the website https://memic.com/ and its affiliated sites (our “website”).

Personal Information You Provide

For example, you may provide personal information to us by filling out our Online Inquiry form or signing up for our newsletter. This personal information may include contact information (such as your name, company, title, e-mail address, physical address, fax number or telephone number), account information (such as your account username and password), policy-related information (such as your policy number, social security number, date of birth, bank account information, healthcare information or claims information) and any other personal information you choose to provide us.

As is true of most digital platforms, we and our third-party providers also collect personal information about your device, browsing actions and website usage patterns automatically when you visit or interact with our website, which may include log data (such as your internet protocol (IP) address, operating system, browser type, browser id, the URL you entered and the referring page/campaign, date/time of your visit, the time you spent on our services and any errors that may occur during your visit to our services), analytics data (such as the electronic path you take to our website, through our website and when exiting our website, as well as your usage and activity on our website) and location data (such as your general geographic location based on the log data we or our third-party providers collect).  

We and our third-party providers may use (i) cookies or small data files that are stored on your computer and (ii) other, related technologies, such as web beacons, pixels, embedded scripts, location-identifying technologies and logging technologies (collectively, “cookies”) to automatically collect this personal information. For example, we may receive personal information from documents that our policy holders/agents provide to us related to the insurance services for which they engage us; or from third parties that interact with us in connection with the services we perform (such as medical providers who assist in processing claims).

How We Use the Personal Information We Collect

We use personal information we collect about you or that you provide to us as needed for lawful business purposes including, presenting our website to you, providing you with information, products or services that you or your employer request from us or that we believe you may be interested in, data analysis, servicing insurance policies, administering claims, developing new products, and improving, enhancing or modifying our services, services (including training and refining automated tools leveraging artificial intelligence), identifying usage trends, and operating and expanding our business activities. You may ask us not to send you marketing communications by following any available opt-out instructions in the marketing communications you receive. Please note that we may continue to send you non-marketing communications even after you opt out.

Personal Information we collect automatically about your device, browsing actions and website usage patterns helps us monitor and improve our website and deliver a better and more personalized service by enabling us to: estimate our audience size and usage patterns; store information about your preferences; speed up your searches; and recognize you when you return to our website, among other things.

In addition, we use personal information we collect to prevent, investigate or provide notice of fraud or unlawful or criminal activity, to enforce and carry out contracts and agreements, and to comply with legal obligations.

We may disclose your personal information as needed for lawful business purposes including to our subsidiaries, contractors, claims providers, medical/pharmaceutical providers, data storage providers, communications providers, marketing and analytics providers, payment processors, event coordinators, other service providers and other third parties we use to support our business or this website.

In connection with such an event, we may transfer to or assign to another entity, personal information collected through our website, if permitted by and done in accordance with applicable law.  

We may also disclose your personal information to third parties, such as legal advisors and law enforcement, in connection with the establishment, exercise or defense of legal claims, to comply with laws and regulations or to respond to lawful requests and legal process, to protect our rights and property and the rights and property of others, to detect, suppress or prevent fraud, to protect the health and safety of us and others, or as otherwise required by applicable law, court order, subpoena, or other legal or regulatory requirement.

We may also disclose your personal information to certain other third parties with your consent. 

Please note that while you may choose to opt-in to receive communication from us, this action does not constitute consent for third parties to contact you. Your consent to receive communications from us is separate from any permissions granted to third parties. We are committed to protecting your privacy and will not share your personal information with third parties for their marketing purposes without your explicit consent.

Children’s Personal Information

Our website is not directed to, and we do not intend to, or knowingly, collect or solicit personal information from children under the age of 13. If you are under the age of 13, do not use our website or otherwise provide us with any personal information either directly or by other means. If a child under the age of 13 has provided personal information to us, we encourage the child’s parent or guardian to contact us to request that we remove the personal information from our systems. If we learn that any personal information we collect has been provided by a child under the age of 13, we will promptly delete that personal information.

We may, however, receive personal information about children, including name and date of birth, through our website when it is necessary for you to provide the personal information for the insurance-related services we provide. This personal information is used to provide you and your beneficiaries the full benefit of our insurance-related services.

Third Parties

Some services made available to you on our website such as billing, payment and safety blogs may be made available through third parties and may be accessible via separately branded (or MEMIC co-branded) portals, embedded links to third party sites or other technologies. MEMIC does not control and is not responsible for the privacy policies and practices of these third parties. We recommend that you review any applicable third party privacy policies, as they may differ from our own.

We utilize physical, administrative and technical safeguards designed to protect the confidentiality and security of the personal information we process and maintain through our website from accidental loss and unauthorized access, use or disclosure. Unfortunately, the transmission of personal information via the internet is never completely secure. Although we take steps designed to protect your personal information, we cannot guarantee the security of your personal information transmitted to our website.

You can also help to protect the safety and security of your personal information. If you were provided or have chosen user login credentials (e.g., username(s) and password(s)) to access certain parts of our website, you are responsible for keeping such credentials confidential.
