Policy Services Assistant

Location: Portland, ME


General Summary:
The Policy Services Assistant is responsible for conducting quality assurance reviews on all outgoing policy documents as well as routing all incoming mail for the Underwriting Department.  The policy services assistant guides the mail preparation workflow for the Policy Services Clerk and monitors experience modification and risk ID changes for NCCI and various state bureaus. 

  • Performs a detailed review of all outgoing policy documents and compares to agent and underwriter instructions to ensure that internal compliance guidelines and accuracy requirements are met.
  • Assists with the preparation of outgoing policy documents for delivery to policyholders and ensures adherence to mailing deadlines.
  • Scans, indexes and routes all incoming department documents including paper mail, faxes and incoming email.
  • Tracks, updates and re-processes returned mail.
  • Monitors the ImageRight mail handling system, tracks and troubleshoots system problems and assists other department users as needed.
  • Resolves quality assurance issues by communicating with internal and external business partners as needed.
  • Monitors NCCI reports and multiple state bureau websites to identify experience modification and risk ID changes and routes as needed.  
  • Performs routine scanner maintenance as needed.
  • Ensures that archived paper documents are stored and destroyed securely.


  • A high school degree and at least 1-3 years in an office environment, or an equivalent combination of education and work experience is required.
  • Insurance experience is preferred.
  • Ability to type with speed and accuracy is required.
  • Must be proficient with PC and Windows.
  • Must be proficient in MS Office (Excel, Outlook, and Word).
  • ImageRight, AS400 and CSC experience is preferred.
  • Must possess strong organizational skills and the ability to multi-task.
  • Must have the ability to communicate in a clear, direct and consistent manner, both verbally and in writing.
  • Must have the ability to work effectively with other organizational team members.
  • Must adhere to strict deadlines while maintaining a high level of attention to detail.

  1. *Processes the workflow for policy issuance, endorsements, cancellations and renewals by entering the information into policy systems on a daily basis and releasing the task.
