Maintenance/Facilities Assistant

General description
The Facilities Assistant provides support for MEMIC and all areas of facilities activities, ergonomics, shipping / receiving, and inventory support of office supplies. This position is responsible for facilities activities such as lighting, plumbing, HVAC, wellness center equipment, furniture set-ups for meetings and training and other maintenance duties at the Portland locations. This position is responsible for the implementation of action items from the Ergonomic Evaluation Team. The Facilities Assistant is solely responsible for all receiving and deliveries at the MEMIC Portland site. The job supports the daily operations of the mail room, which includes occasionally collecting and distributing mail and minor maintenance of all mail room equipment. The Facilities Assistant is also solely responsible for daily and periodic facilities routes and inspections as well as any other duties assigned.

Responsibilities
  1. **Be one of the primary responders for life safety issues, fire alarms, emergency security issues. Coordinate security card distribution for outside contractors and suppliers as needed.
  2. **Must be available to respond to emergency call on a 24 hour basis and back up Facilities Manager as needed.
  3. **Maintain hazardous waste material in the basement, such as fluorescent bulbs, for recycling and arrange for proper pick up and disposal according to all current State of Maine environmental regulations.
  4. **Perform regular inspections of overhead lighting, replace bulbs as needed and coordinate more extensive repairs with Facilities Manager.
  5. **Maintain all ergonomic equipment and complete any changes, designs, modifications and adjustments of such. Dismantle, implement and reassemble to achieve the desired results of work surface, seating, neutral position and ancillary equipment.
  6. **Coordinate receiving of all Post Office supplies i.e. sleeves, trays and totes for mailings and unload, deliver and store in the basement. Work with Purchasing to maintain and distribute an inventory of all MEMIC preprinted letterhead, envelopes and copier paper.
  7. **Responsible for all receiving and deliveries. Maintain supplies with storage in the basement and any other locale in a clean and organized manner.
  8. **Maintain and understand basic operation of all the mail room equipment. Troubleshoot and obtain service when required. The equipment includes but not limited to the following:
  • Pitney Bowes DI 950 folder/stuffer
  • Pitney Bowes1250 slicer
  • Pitney Bowes DW00 meter/sealer
  • Pitney Bowes DF 500 folder
  • Pitney Bowes W-350 tabber
  • Ricoh MP9002 copier
  • Powis Parker Fastback 20XS binder
  • GBC 125 Laminator
  1. Perform other tasks as required.
** Essential functions

General description

1. Have a 2 year technical degree or equivalent.

2. Mechanical and electrical aptitude. HVAC and electrical experience preferred.

3. Familiar with computer applications and a strong knowledge of Word and Excel.

4. Adaptive, creative and flexible with appositive customer service attitude.

5. Ability to manage time and work effectively individually or in a team environment.
